PRIVACY POLICY

Privacy Statement for The Portland Police Association

The privacy of our members and guests is very important to us. The Portland Police Association (“PPA”) has created this privacy statement (“Privacy Policy”) in order to demonstrate our firm commitment to privacy. The following discloses the information gathering and dissemination practices for this Web site, www.ppavigil.org (“ppavigil.org”, “www.portlandpoliceassociation.com”, “Web Site”, or “Site”). If you object to this Privacy Policy, you should not access or use this Site. Your election to access this Site indicates your acceptance of the terms of the Privacy Policy.

1. Confidentiality Not Guaranteed

The Portland Police Association cannot guarantee your confidential use of this site. We shall not be responsible for any harm that you or any person may suffer as a result of a breach of confidentiality in respect to your use of this site.

2. Right to Monitor

While any visitor is welcome at our site, our highest priority is protecting the privacy and security of our members. The Portland Police Association reserves the right to monitor any transmission made through www.ppavigil.org, including, but not limited to, forums, bulletin boards, and ppavigil.org hosted or affiliated email. We reserve the right to edit, censor, remove or prohibit the transmission or receipt of any information The Portland Police Association, in its sole discretion, deems inappropriate or in violation of its Terms of Use or Membership Agreement.

3. Types of Users

Any visitor to our site can access some services such as our email newsletter and our online store and in this document will be referred to as “Users.” Access to certain sections of this site is restricted to registered PPA members who will be referred to in this document as “Registered Members.”

The Portland Police Association (PPA) reserves the right to censor or remove any user or registered member for any reason, including but not limited to any activity by a user or registered member that violates the terms of this Privacy Policy.

4. Information Collection and Use

The Portland Police Association (PPA) is the sole owner of the information collected on www.ppavigil.org. The Portland Police Association collects information from our users at several different points on our site.

4.1 Registration Forms

To register for some services on our site, we require that you provide certain personally identifiable information, including your name, phone number and email address. This information is necessary to process your registration and to contact you.

Users registering to receive our email newsletter are required to provide a name and email address. On receiving your registration, you will receive a welcoming email message from us. This helps us verify your email address.

PPA members who register for access to our Members section are required to provide their name, email address, and an authentication code which can only be received through the PPA office. You will also be required to agree to our Privacy Policy and Membership Agreement. You will receive an email notice from us when we receive your registration and another email when verification is complete.

PPA members who register for Special Duty on our site will be required to submit additional information including phone numbers, precinct, hours available and days off. When your registration has been processed we will send and email confirming your registration information.

4.2 Orders

If you purchase a product or service from us, we request certain personally identifiable information from you on our order form. You must provide contact information (such as name, email, and shipping address) and financial information (such as credit card number and expiration date).

We use this information for billing purposes and to fill your orders. If we have trouble processing an order, we will use this information to contact you.

4.3 Surveys or Contests

From time-to-time we may provide Users and/or Registered Members the opportunity to participate in surveys or contests on our site. If you participate, we will request certain personally identifiable information from you. Participation in these surveys or contests is completely voluntary and you therefore have a choice whether or not to disclose this information. The requested information typically includes contact information (such as name and phone number).

We will not share the personally identifiable information you provide through a survey or contest with other third parties unless we give you prior notice and choice.

5. Communications from the Site

5.1 Offers and Updates

We will occasionally send Registered Members updates and notices by email. Out of respect for your privacy, we present the option not to receive these types of communications. Please see the “Choice and Opt-out” section.

5.2 Newsletters

Any User may subscribe to our email newsletter. If you wish to subscribe, we will use your name and email address to send the newsletter to you. Out of respect for your privacy, we provide you a way to unsubscribe. Please see the “Choice and Opt-out” section.

5.3 Service-related Announcements

We will send Users and Registered Members strictly service-related announcements on rare occasions when it is necessary to do so. For instance, if our service is temporarily suspended for maintenance, we might send you and email. You may opt-out of these communications. Please see the “Choice and Opt-out” section.

5.4 Customer Service

Based upon the personally identifiable information you provide us, we will send you a welcoming email to verify your user name and password. We will also communicate with you in response to your inquiries, to provide the services you request, and to manage your account. We will communicate with you by email or telephone, in accordance with your wishes.

6. Information Sharing and Disclosure

6.1 Personally Identifiable Information

It is the policy of the PPA not to share personally identifiable information with third parties, except where the PPA is compelled to do so by law. However, the PPA cannot completely protect against improper use of its web page by third parties, or impermissible use by PPA members or employees. As such, the PPA cannot give an absolute guarantee that personally identifiable information will not be disclosed.

6.2 Agents

We use an outside shipping company to fulfill orders, and a credit card processing company to bill you for goods and services. These companies do not retain, share, store or use personally identifiable information for any other purposes.

6.3 Legal Disclaimer

We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or to comply with a judicial proceeding, court order, or legal process served on our Web site.

7. Choice/Opt-out

If you subscribe to receive our email newsletter, and no longer wish to receive it, you may opt-out by following the instructions included in each newsletter or by emailing us at manager@ppavigil.org. We offer Registered Members an opportunity to opt-out of certain communications on the Change Your Information form. 8. Information Automatically Logged

8.1 Log Files

As is true of most Web sites, we gather certain information automatically and store it in log files. This information includes internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, operating system, date/time stamp, and clickstream data.

We use this information, which does not identify individual users, to analyze trends, to administer the site, to track users’ movements around the site and to gather demographic information about our user base as a whole.

We do not link this automatically-collected data to personally identifiable information.

8.2 Cookies

A cookie is a small text file that is stored on a user’s computer for record-keeping purposes. We use cookies on this site. We do not link the information we store in cookies to any personally identifiable information you submit while on our site.

We use cookies to make it easier to navigate our site. A session ID cookie expires when you close your browser. A persistent cookie remains on your hard drive for an extended period of time. We set a persistent cookie to store your passwords, so you don’t have to enter it more than once. Persistent cookies also enable us to track and target the interests of our users to enhance the experience on our site. You can remove persistent cookies. Most Internet browsers provide instructions for removing persistent cookies in their “help” file.

If you reject cookies, you may still use or site, but your ability to use some areas of our site, such as surveys or contests, will be limited.

9. Links to Other Sites

This site contains links to other sites that are not owned or controlled by The Portland Police Association. Once you leave our site and enter another, our Privacy Policy is no longer in effect and you are subject to the privacy policy of the new site. Please be aware that we, The Portland Police Association, are not responsible for the privacy practices, the content, or for the availability of the systems of such Web sites.

This privacy statement applies only to information collected by this Web site.

10. Public and Private Forums

If you use chat rooms, forums, message boards, and/or news groups on this site, be aware that any personally identifiable information you submit there can be read, collected or used by other users of these forums, and could be used to send you unsolicited messages. Please remember that any information that is disclosed in these areas becomes public information and you should exercise caution when deciding to disclose your personal information. The Portland Police Association is not responsible for the personally identifiable information or for the comments and opinions posted by site visitors in any forum.

11. Access to Personally Identifiable Information

Users may change personally identifiable information or unsubscribe to our email newsletter through the Subscribe form on our home page, by emailing manager@ppavigil.org or by contacting us by telephone or postal mail at the contact information listed below. If your personally identifiable information changes, or if you no longer desire our service, Registered Members may update information or deactivate services on the Change Your Information form in the Members section. Registered Members may update Special Duty information on the Change Your Information form on the Special Duty page.

12. Security

The security of your personal information is very important to us. We follow generally accepted industry standards to protect the personal information submitted to us, both during transmission and once we receive it. No method of transmission over the Internet, or method of electronic storage, is 100% secure, however. Therefore, while we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security. Your use of this site is at your own risk.
